Administrative Assistant – Licensing Department
21 February 2024The Irish Horseracing Regulatory Board (IHRB) is the Regulatory Body for horseracing in Ireland and exists to assure public trust in Irish horseracing through best in class regulatory and integrity processes. The purpose of the IHRB is to safeguard the integrity and reputation of Irish horseracing. It is also responsible for the licensing of all participants in Irish racing.
The IHRB now wishes to recruit an experienced Administrative Assistant in our Licensing Department, reporting to the Licensing, Education & Training Manager for a 12 month contract. The successful candidate’s primary role will be to support the licensing team in the delivery of its functions, including the following:
Licensing Duties:
- Answering general licensing queries and providing information and advice to Licensees
- Collating and processing licensing applications
- Liaising & preparing documents/information packs for the Licensing Committee
- Maintaining accurate licensing, inspection and other records on relevant databases
- Updating SOP’s
Trainers
- Daily administration of currently licensed trainers
- First Time Trainer Applications
- Assist with Trainer annual renewals.
- Administration of Licensing Inspections
Racecourses
- Administration of Racecourse licence applications
- Annual renewals
- Administration of Racecourse Inspections
Stable Staff
- Administration of the Stable Employee database and Stable card applications
- General administration and information management relating to registered stable employees
Non-Licensing Duties:
- Taking calls and updating information in respect of non-runners and reserves. This involves logging and disseminating information in relation to non-runners and reserves on all race days in accordance with the Rules of Racing.
- Administration of race day information following race meetings.
- Member of the Licencing team assisting with various project work as it arises.
- Provide cover for reception when required
The Person
To be considered for this position you will need excellent administration skills, meticulous attention to detail and be able to work as part of a dynamic team in the Licensing Department as well as working on your own initiative. You will need excellent inter-personal and communication skills with the ability to build strong working relationships across the organisation and externally. The role may also involve some Bank Holiday work.
Education, Knowledge & Experience
- Excellent communication, organisational, verbal and written skills
- Good computer knowledge (Excel, Word, Outlook) and general IT skills are essential.
- A self-starter capable of working on their own initiative and as part of a team.
- Must be meticulous - paying great attention to accuracy and detail.
- Horseracing industry knowledge advantageous but not essential
