Administrative Assistant - Licensing Department

The Irish Horseracing Regulatory Board (IHRB) is the Regulatory Body for horseracing in Ireland. The IHRB is a private company whose statutory remit is to protect the integrity and reputation of Irish Horseracing. It is also responsible for the licensing of all participants in Irish racing. Its mission is to ensure that the reputation of Irish Horseracing and confidence in the sport is protected by robust and transparent regulatory practices, implemented with integrity, by a professional and progressive team. The IHRB wishes to recruit an Administrative Assistant reporting to the Licensing Department Manager on a two year fixed term contract basis. The successful candidate will have the following responsibilities:

Licensing Duties:

  1. Processing first time applications; 
  2. Processing renewal / transfers / termination applications;
  3. Update and maintenance of reports and databases;
  4. Answering general licensing queries and advising Licensees in relation to the Rules of Racing. 

Non-Licensing Duties:

  1. Taking calls and updating information in respect of non-runners and reserves. This involves logging and disseminating information in relation to non-runners and reserves on all racedays in accordance with the Rules of Racing. 
  2. Administration of other raceday information following race meetings.
  3. Member of the Licencing team and provides support and assistance with various project work as it arises.
  4. Provide cover for reception when required. 
  5. Exhibits polite and professional communication via phone and e-mail.

The Person:

To be considered for this position you will need excellent administration and IT skills, strong attention to detail and be able to work as part of a dynamic team in the Licensing Department as well as working on your own initiative. You will need excellent inter-personal and communication skills with the ability to build strong working relationships across the organisation and externally. The role may also involve some Bank Holiday work.

Education, Knowledge & Experience Required:

  • 3rd level education preferable but not a requirement
  • At least 2 years of administrative assistance experience is desirable
  • Excellent communication, organisational, verbal and written skills
  • Strong computer knowledge (Excel, Word, Outlook) and general IT skills are essential
  • A self-starter capable of working on their own initiative and as part of a team with a can do attitude
  • Must be meticulous - paying great attention to accuracy and detail
  • Horseracing Industry knowledge advantageous
